What we do with your information
Oak & Pixel is a small web design studio in the United Kingdom. This page covers the three ways we might hold information about you: you visited this website, you sent us the form, or we emailed your business. Plain English, no small print.
Who we are. Oak & Pixel is responsible for this information (the “controller”). Questions, requests or complaints: hello@oakandpixel.co.uk.
1. If you visit this website
We set no cookies and use no advertising or third-party trackers. Our typefaces are served from our own server, so your browser doesn’t contact Google or anyone else.
To count visits we record the page you viewed, the website that sent you (for example a search engine), and a code made from your IP address and browser type that we can’t reverse: it uses a random secret that changes every day and is never saved, so we can tell roughly how many different people visited on a day, but not who you are. We never store your IP address. These records are deleted after 12 months.
If you reached us through a link in an email we sent your business, the link contains a reference number, and we record that it was used. That tells us the email reached you, and nothing more.
2. If you send us the form
We collect what you type: your name, email address, business name, current website and your message. We use it to prepare your free draft and to reply to you. Our lawful basis is taking the steps you’ve asked for before any agreement, and our legitimate interest in answering enquiries.
Your message is stored on our own server and emailed to us via Brevo, an email delivery service in the EU; we read it in Google’s Gmail. Stored form entries are deleted automatically after 12 months. If you become a client, we keep what we need to provide your website and meet our legal and accounting obligations.
3. If we emailed your business
We contact local businesses whose websites we think we could improve. You didn’t give us your details, so here is exactly what we hold and where it came from.
- Where it came from: OpenStreetMap (a public map of businesses) and your business’s own public website.
- What we hold: your business name, trade and town, website address, and the contact email and phone number published on your website; notes from our review of your public website; and the emails we exchange with you.
- Why: to offer our services to your business. Our lawful basis is our legitimate interest in telling businesses about a service they may find useful.
- Who else sees it: we use Anthropic’s Claude, an AI service based in the United States, to help draft our emails, so your business details and our notes about your website are processed by Anthropic under its data processing terms. We send our emails, and receive your replies, in our own mailbox, hosted by Zoho in the EU.
- How long: while it’s useful for contacting your business. If you ask us to stop or to delete your details, we will, straight away.
Stopping our emails: reply “no thanks”, or anything asking us to stop. We add your email address and website to a do-not-contact list, and keep only that entry so we never contact you again.
Customers of the businesses we build websites for
If you used the enquiry form on a website we built for another business, that business is responsible for your information and its own privacy notice (linked at the foot of its website) explains what happens to it. We host the website and store form entries for them, and delete them after 12 months.
Your rights
You can ask for a copy of what we hold about you, and ask us to correct it, delete it, or stop using it. You can object to our use of your information for contacting you at any time. Email hello@oakandpixel.co.uk and we’ll reply within one month.
If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
